Privacy Policy

At SolarNeo, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our B2B SaaS platform, or use our mobile applications (SolarNeo Admin app for staff and SolarNeo Customer app for end customers). By using our services, you agree to the practices described below.

1. Information We Collect

We collect information in a variety of ways depending on how you interact with our services:

  • Personal Data: Name, company name, designation, shipping/installation address, email address, and telephone number — collected when you sign up, enquire, or create a user account.
  • Customer Lead Data (entered by our business customers): Information about end customers such as their name, phone, email, address, energy requirements, and site photographs. This data is owned and controlled by the solar business that uses our platform; SolarNeo acts as a data processor on their behalf.
  • Derivative Data: Information automatically collected when you access our services, such as IP address, browser type, device identifiers, operating system, access times, and the pages or screens you viewed.
  • Financial Data: Payment-method information (card brand, last 4 digits, expiration, UPI ID) collected when you purchase or renew a subscription. Full card numbers are handled by our payment processor (Razorpay) and are never stored on our servers.
  • Location Data (Mobile App): Our staff-facing mobile app may collect precise GPS location while the app is in use and, for users whose role requires it (e.g., field sales, site engineers, installation partners), in the background during active work sessions. This is used to verify attendance at customer sites, timestamp check-ins, and let managers view the team's route during working hours. Background tracking is only active while the user is clocked in / an active work session is running, and a persistent foreground notification is shown on the device whenever tracking is active. Users can revoke location permission at any time from their device settings.
  • Camera, Photos & Files: With your permission, we access the camera and photo library to let you capture site photographs, upload KYC documents, scan meters, and attach files to leads, quotes, and projects.
  • Contacts: If you choose to import or share contact information (e.g., to add a new lead), we process only the contacts you explicitly select.
  • Push Notification Tokens: Firebase Cloud Messaging (FCM) tokens to send you notifications about leads, project status updates, approvals, and customer activity.
  • Usage & Diagnostic Data: Crash reports, performance metrics, and feature-usage analytics to help us improve the product.

2. How We Use Your Information

  • Create and manage your SolarNeo account and user roles.
  • Provide the core CRM functionality — lead capture, quoting, project tracking, inventory, dispatch, installation, commissioning, net metering, and handover.
  • Process subscription payments, issue invoices, and manage renewals.
  • Send transactional communications (OTPs, password resets, payment receipts, status alerts).
  • Send push notifications for leads, approvals, and workflow events.
  • Verify team attendance at customer sites and show authorised managers the live/historical location of field staff during work hours.
  • Monitor service performance, debug issues, and prevent fraud or abuse.
  • Comply with applicable laws, tax regulations, and lawful government requests.

3. Location Permissions (Mobile App)

The SolarNeo staff app requests location permission only from user roles that require field tracking (such as Sales Executive, Site Inspector, Site Engineer, and Installation Partner). When enabled:

  • Foreground (while the app is open) location is used to stamp check-ins, site visits, and attendance.
  • Background location is used only while an active work session is in progress and is accompanied by a persistent Android notification indicating that tracking is running.
  • Location data is uploaded securely to your company's SolarNeo account and is visible only to authorised users (typically managers, city/state heads, and platform admins).
  • You can disable location permissions at any time via your device's Settings → Apps → SolarNeo → Permissions. Doing so may limit attendance and field-tracking features.
  • We do not sell location data, we do not share it with advertisers, and we automatically purge location tracking history on a scheduled basis per our retention policy.

4. Sharing & Disclosure

We do not sell your personal information. We share data only in the following circumstances:

  • With your company / employer: If you are a user added by a SolarNeo subscriber, your activity, location (where applicable), and work output are visible to your company's authorised admins.
  • Service providers: Trusted third parties who help us operate the service — including cloud hosting, Razorpay (payments), Firebase (notifications, analytics, crash reporting), Google Maps (serviceable-area mapping), WhatsApp Business API, and Meta/Facebook Lead Ads (only when you explicitly connect these integrations).
  • Legal compliance: When required by law, court order, or to protect the rights, property, or safety of SolarNeo, our customers, or others.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users.

5. Data Retention

We retain personal and business data for as long as your account is active and as needed to provide the service. Location tracking history is purged on a rolling schedule (typically 90 days) unless a longer retention is configured by your company admin. On account cancellation, data is retained for a reasonable period to allow export and meet legal/tax obligations, after which it is deleted or anonymised.

6. Security

We use administrative, technical, and physical security measures — including HTTPS/TLS encryption in transit, encrypted storage of sensitive fields, role-based access controls, and regular backups — to help protect your information. While we take reasonable precautions, no method of transmission or storage is perfectly secure.

7. Your Rights

Subject to applicable law (including India's DPDP Act, 2023), you have the right to access, correct, or delete your personal data; withdraw consent; and request a copy of your data in a portable format. To exercise these rights, contact us at the email below. If you are an end customer whose data was entered by a solar business using SolarNeo, please first contact that business, as they are the data controller; we will assist them in fulfilling your request.

8. Children's Privacy

SolarNeo is a B2B product and is not directed to children under 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified via email or an in-app notice. The "Last Updated" date at the top reflects the most recent revision.
